Common Accountability Platform

Zite Manager is currently being used primarily as a common accountability tool. It allows for community feedback to be collected and automatically referred to responsible parties through a variety of means: online dashboards, excel, and email. Agencies can then respond to the feedback - their responses appear as a “To Do” notification in the application and help CFM staff know when they can follow up with the person who is waiting for the information.

Zite Manager is operational in over six countries with more scheduled to throughout in 2023. Different agencies & users can be added with ease at no extra cost or difficulty to help standardize how community feedback is collected and managed within CCCM clusters and sectors.

Received - Community feedback is received by field staff. Feedback is addressed immediately whenever possible. Details of sensitive complaints and protection issues are not recorded in the system.

Referral - Feedback that needs referral is marked as “Open” and sent to the responsible agency through the system or password protected excel files. Referrals can be automated and made as frequently as required to corresponding focals.

Response - Agencies provide the CFM managers responses which are entered in the system. If a response is not received after 30 days, the complaint is notified and the ticket is marked as unresponded.

Reply - Field staff are alerted when a ticket has been updated with the agencies’ response and goes to speak with the person. The person who provided the feedback receives relevant information and reports if this has resolved their problem.

Site Development Construction Management

Keeping track of the different site improvement referrals can be a monumental task. Not only do site engineers in Cox Bazar receive referrals from different units, they then need to conduct several rounds of assessment & construction reporting as part of this process. Zite Manager offers a way for humanitarians to not only manage referrals but the various assessments, approvals, and reporting associated with a given workflow. In this case, Zite Manager offered a solution for keeping track of thousands of referrals and hundreds of construction processes all in various stages of development.

Service Mapping & Monitoring

Zite Manager has started to be used as a service mapping & monitoring tool within Somalia. In Somalia, there are thousands of IDPs camps and keeping track of which agencies are providing which services can be challenging. To solve this, field officers are given a form on their device to update which agencies are providing services in a specific site. They can change the information at anytime and it is automatically uploaded to the site profile in the web application. From there, all the site information can be downloaded with updated information about who is working where.
